COD and rider cash
See the cash-on-delivery money each rider is holding, and record what they hand over at the end of the day.
When a rider delivers a cash-on-delivery (COD) order, the cash they take from the customer is recorded against them. Rider cash shows what each rider still owes the shop, and lets you record the hand-over.
Before you start
- Seeing rider cash needs the Owner, Manager, Dispatcher or Analyst role.
- Recording or undoing a hand-over (Settle rider cash) is for the Owner and Manager. You can give it to other roles in Roles and permissions.
When cash is recorded
Cash is recorded when an unpaid COD order with a delivery is marked Delivered.
- Cash collected is what the rider took from the customer. Leave it empty if they took the order total.
- The order is marked Paid at the same time.
- Each order counts once. Orders without a delivery (no rider) aren't counted.
In Deliveries, set the delivery's status to Delivered and fill in Cash collected if it differs from the order total.
On the order, the payment card then shows who collected the cash and whether it has been handed to the shop yet.
Settle a rider's cash
Open Deliveries and click Rider cash. Cash with riders shows the total still to be handed over, and each rider shows what they Owe.
Click Settle next to the rider.
Tick the orders the rider is handing over cash for. Expected adds them up.
Enter the Amount received. If it doesn't match, you'll see Short or Over; add a Note, such as "short 2,000, will pay tomorrow".
Click Confirm settlement.
The dashboard also shows how many riders have COD cash to hand over.
Orders you don't tick stay with the rider, so they can hand those over another day.
Settlements lists each day's hand-overs, with what was expected and what was received. If a settlement was recorded by mistake, click Undo: its orders go back to the rider as outstanding.
Does the rider keep the delivery fee?
Some shops let riders keep the delivery fee from the cash they collect. On the web, in Rider cash, turn on Riders keep the delivery fee. Riders then owe the order total less the delivery fee.
The setting applies to cash collected from then on. Cash already recorded keeps the amount it was recorded with.
Good to know
- Rider cash counts only COD orders. Orders paid another way, or already marked paid before delivery, aren't included.
- The order is marked paid when it's delivered, even before the rider hands the cash to the shop.
