Cost and profit
Set what each product costs you, then see profit and margin on every order and in Reports.
Give each product variant a cost price. Orders and Reports then show your profit: what you sold the items for, minus what they cost you.
Before you start
- Cost and profit are part of the Shop plan (monthly or yearly). They're not in the free trial.
- Only the Owner and Manager see costs, through the View cost and profit permission. You can give it to other roles in Roles and permissions. Everyone else sees products, prices and orders as before, without costs or profit.
Set cost prices
Open Products and edit a product, or create one.
Each variant row has a Cost next to its price. Enter what one unit costs you. The row shows its margin, for example 40% margin.
Save the product.
New variant combinations copy the first row's cost, like they copy the price. The products CSV export includes a cost column.
Leave the cost empty if you don't know it. Those items are left out of profit, and Reports tell you how many there are.
Profit on an order
The order page has a Profit card showing Items, Cost, Profit and Margin.
- The cost is saved on the order when it's confirmed (when it takes stock). Changing the product's cost later doesn't change orders you've already confirmed.
- New orders that aren't confirmed yet use the product's current cost.
- Items you typed in, not picked from Products, have no cost. On the web you can set one on the order.
- The delivery fee isn't counted. Profit covers the items only.
Profit in Reports
Open Reports and pick a day, week, month or range. The Profit section shows:
- Gross profit and Margin, with the change from the previous period
- Cost of items, out of item sales
- Top products, with each product's profit and margin
- Best margin: the products that earned the most profit, among those sold 3 or more times
Profit counts the same orders as revenue, so every order except cancelled ones. Dates follow your shop's time zone.
If items sold have no cost price, a note says how many, with a link to Set cost prices.
Good to know
- Margin is profit as a share of item sales: (sales − cost) ÷ sales.
- Items without a cost are left out of both cost and margin, so the margin isn't dragged down by them.
- For people who can see costs, the orders CSV export adds item sales, cost and profit columns, and the products CSV adds the cost price.
